How do you scope a custom system when requirements aren't fully clear yet?
We start with a paid discovery phase: we map your workflows, data, and roles into a written specification and a clickable design. You approve that before any code, which keeps the build predictable and prevents costly mid-project rework.
Fixed price or time-and-materials?
Once the spec is approved we quote a fixed price for that scope. For systems that will keep evolving — new modules, integrations, automations over time — a monthly time-and-materials retainer is usually more efficient. We're transparent about which model serves you better.
Can it integrate with the tools we already use?
Yes. We integrate with your accounting, ERP, payment gateways, messaging, and any system that exposes an API, and we can build connectors for legacy or in-house tools. Multi-role permissions and SSO are standard.
Will my team be able to use and run it?
We design for your actual users, deliver clear dashboards and reports, and include team training and a rollout plan. You also get documentation so onboarding new staff later is straightforward.
Who owns the system, and who owns our data?
Your data is yours in every engagement, and you can export it at any time in a standard format. The system follows the payment path: on the subscription, part of every monthly payment is an ownership instalment and the source code is yours after 36 of them; on the three-instalment purchase it is yours on the final payment. Until then you hold a full usage licence — an uninterrupted right to run the system for your business. Where you need it, we deploy onto your own servers or into your own cloud for data-residency reasons; where it runs changes nothing about ownership. Continuity is written into the contract: read-only access to your project's repository, plus a clause that lets you keep the system running and maintained — including through a developer of your own choosing — if PhiBit ever ceases to operate.
Is the system secure?
Security is part of how we build: role-based access control, audit logging, encrypted secrets, input validation, and least-privilege database access. For sensitive systems we can add a dedicated security review before go-live.
